What is Vamana Labs?

Vamana Labs is an AI-powered platform built for independent store owners. It combines smart inventory management, an online storefront, AI automation, purchase order management with OCR scanning, and 40+ integrations — all in one place. We give small businesses the same tools that big chains use, without the enterprise price tag.

Who is Vamana Labs designed for?

Independent grocery stores, convenience stores, specialty food shops, and other small retail businesses. Whether you run a single neighborhood store or a handful of locations, Vamana Labs helps you manage inventory, sell online, and automate your day-to-day operations.

How is this different from Square, Toast, or Shopify POS?

Most POS platforms bolt on basic inventory and e-commerce as afterthoughts. Vamana Labs is built differently — AI is at the core. Our AI assistant can manage your inventory, generate purchase orders, analyze supplier pricing, and even communicate with suppliers via WhatsApp or email. We also include features like OCR purchase order scanning, multi-language storefronts, and purchasing intelligence that you would normally need separate paid tools for.

How much does Vamana Labs cost?

Vamana Labs is currently in early access. We are working with our initial customers to finalize pricing that works for independent stores. Apply for access and we will walk you through what is included and what it costs.

Is there a free trial?

Yes. Once approved, you get full access to the platform during the early access period. We want you to experience the full power of the tools before committing.

Are there any hidden fees for integrations or AI features?

No. All 40+ integrations and AI features are included in the platform. You will never be charged extra for connecting your POS, using the AI assistant, or enabling your online storefront.

Getting Started

How long does setup take?

Most stores are up and running within a day. You can import your existing product catalog from a CSV file or scan purchase orders to build it automatically. Connect your POS system and your inventory syncs in real time. Your online storefront is live as soon as you add products.

Do I need to be tech-savvy to use it?

Not at all. The platform is designed for store owners, not IT departments. The AI assistant can handle complex tasks for you — just describe what you need in plain language. Upload a purchase order photo and it gets scanned automatically. The interface is clean and straightforward.

Can I import my existing product catalog?

Yes. You can import products via CSV upload, scan them in from purchase orders using our OCR feature, or add them manually. If you are switching from another platform, we can help migrate your data.

Technical

What POS systems do you integrate with?

We currently integrate with Square and Toast, with more POS systems coming soon. The integration syncs your products, inventory levels, and sales data in real time so everything stays in sync between your physical store and online presence.

Can I use my existing POS system alongside Vamana Labs?

Absolutely. Vamana Labs is designed to work alongside your existing POS, not replace it. Connect your Square or Toast account and your sales, inventory, and products sync automatically. You keep using the register you know — we add the intelligence layer on top.

How does the AI inventory management work?

The AI monitors your stock levels, tracks purchase patterns, and can alert you when items are running low. It analyzes supplier pricing across your purchase orders to find savings opportunities and can even draft reorder messages to your suppliers. Combined with the purchasing intelligence dashboard, you get a clear picture of where your money goes and where you can save.

How does OCR purchase order scanning work?

Take a photo of any purchase order or invoice and upload it. Our AI reads the document, extracts line items, quantities, prices, and supplier information automatically. It matches items to your existing products and flags anything new. You review and approve — the whole process takes seconds instead of hours of manual data entry.

Can I connect to my suppliers through the platform?

Yes. You can send purchase orders and reorder requests to suppliers directly via WhatsApp or email from within the platform. The AI can draft these messages for you based on your stock levels and order history. Supplier contact information is automatically extracted from scanned purchase orders.

Is my data secure?

Yes. All data is encrypted in transit and at rest. Each store's data is completely isolated — no other business can see your products, pricing, or sales information. We use industry-standard security practices and never sell or share your data with third parties.

Portal

Can customers order online from my store?

Yes. Every Vamana Labs account includes a free online storefront (we call it the Portal). Your customers can browse your catalog, search for products, and place orders. You can use a custom domain or our built-in subdomain. The storefront is mobile-friendly and optimized for search engines.

What languages does the portal support?

The portal supports 6 languages: English, Tamil, Telugu, Malayalam, Hindi, and Kannada. All navigation and UI elements are translated, and product names and descriptions are automatically translated using AI when you add new products. This is especially important for stores serving communities where customers may not read English fluently.

Can I use my own domain name for the online store?

Yes. You can connect a custom domain (like shop.yourstore.com) to your portal. We also provide a free subdomain (yourstore.vamana-labs.com) that works immediately. Domain connection is handled through the settings page — no technical knowledge required.

What happens if I need help?

Reach out to us anytime through the contact page or by email. During early access, you get direct access to our team for onboarding, troubleshooting, and feature requests. We are building this platform in close partnership with our store owners.

How does the AI assistant help day-to-day?

The AI assistant lives inside your dashboard. You can ask it questions like 'What products are running low?', 'Draft a purchase order for my dairy supplier', or 'Show me my top-selling items this week'. It can also generate marketing campaigns, analyze competitor pricing, and automate repetitive workflows — all through natural conversation.
